Client Services Officer

Our client has been the trusted adviser to a wide variety of clients for over 30 years. Their success has been built on building long-standing client relationships through excellent service and advice to small and medium enterprises, as well as individuals.

Due to expansion, they are seeking a Client Services Officer to join their team, who enjoys being the first point of contact for clients. This is a full-time role, 8.30am – 5.00pm, Monday to Friday.

About the Role:

Reporting to the Director, key responsibilities of the role will include:

  • Workflow Management: Collate client lists to determine workflow for accountants and allocate client work across the year to ensure balanced workloads and timely completion.
  • Client Communication: Contact clients in readiness for their work to be completed, including scheduling appointments and requesting necessary data. Maintain regular communication with clients to ensure their needs are met and any issues are promptly addressed.
  • Job Management: Allocate work via the job management system to the appropriate team members. Monitor the progress of assigned tasks and ensure deadlines are met.
  • Document Coordination: Collate completed work and coordinate client signatures. Ensure all documentation is accurately prepared and filed.
  • Liaison with Australian Taxation Office (ATO): Communicate with the ATO on behalf of clients and the firm. Manage and resolve any issues or queries related to tax matters.
  • Administrative Support: Assist with the management of the directors’ emails, calendar, and general scheduling.
  • Office Management: Manage office-wide inboxes, perform reception duties, handle client invoicing, manage the client database, onboard new clients, and coordinate the establishment of new companies and trusts.
