Intake Worker & Receptionist

Mind Up is seeking an empathetic and capable Intake Worker & Receptionist to join their administration team in Spotswood.

You’ll often be one of the first people a client speaks with when seeking mental health support. You’ll help create a welcoming experience, understand their needs and connect them with an appropriate clinician.

This role would be particularly well suited to someone completing an Honours or Master’s degree in psychology. However, psychology studies are not essential, and we welcome applicants with strong customer service, reception, administration or mental health experience.

About the Role

As an Intake Worker & Receptionist, you’ll combine client intake responsibilities with reception and general administration support.

You’ll respond to enquiries with warmth and professionalism, conduct intake calls, gather relevant information and assist clients to find a clinician suited to their needs.

The position is available for three or four days per week between Monday and Thursday. Regular evening availability is essential, with shifts finishing at either 7.15 pm or 8.00 pm.

Key Responsibilities

  • Conduct initial intake calls with prospective clients.
  • Listen to client needs and assist with matching them to an appropriate clinician.
  • Respond to telephone, email and in-person enquiries.
  • Provide a warm and professional reception experience.
  • Manage appointments, bookings, cancellations and client information.
  • Process referrals and maintain accurate records.
  • Provide general administrative support to clinicians and the broader team.
  • Handle sensitive and confidential information appropriately.
  • Communicate professionally with clients, referrers and other stakeholders.
  • Contribute to a supportive and collaborative team environment.

About You

You’ll be approachable, emotionally intelligent and comfortable communicating with people who may be seeking mental health support for the first time.

You will bring:

  • Previous customer service, reception or administration experience.
  • Strong verbal and written communication skills.
  • A warm, calm and empathetic communication style.
  • Strong organisation and attention to detail.
  • Confidence using technology and learning new systems.
  • The ability to manage competing priorities.
  • Sound judgement and an understanding of privacy and confidentiality.
  • The ability to work independently while contributing to a collaborative team.
  • Availability to regularly work evening shifts.

Current Honours or Master’s studies in psychology will be highly regarded but are not essential. Previous experience in mental health, allied health or healthcare will also be viewed favourably.

Availability Requirements

To be considered, you must be available:

  • Three or four days per week between Monday and Thursday.
  • For regular evening shifts finishing at either 7.15 pm or 8.00 pm.
