Psychology Clinic Receptionist
The Liminal Clinic is seeking a part-time Receptionist, initially starting out working from home, and later transitioning to in-person once a new home for the clinic has been found in the second half of 2026.
The role would suit someone who is located in Victoria, able to work 4-5 hours per day, preferably between 10am – 2pm Monday – Friday, enjoys being a steady, welcoming presence, values inclusive and affirming working environments, and is comfortable supporting people from diverse backgrounds.
Experience working in a psychology / medical or allied health setting is desirable. Experience using the practice management system PracSuite will be seen as highly desirable.

About the role
The Liminal Clinic is looking for a warm, capable, and reliable part-time Receptionist to join their growing psychology practice.
This role is the first point of contact for people reaching out to the clinic, and plays an important part in shaping a calm, respectful, and affirming experience from first enquiry onward. The position will begin working from home, supporting the clinic remotely, and will transition to in-person reception once our new clinic space opens in inner Melbourne, within the Prahran to Fitzroy corridor.
The role is part-time, 4 to 5 hours per day, Monday to Friday, with a strong preference for availability between 10.00am and 2.00pm, when client contact is at its busiest. As the clinic continues to grow, there is scope for increased hours in the future.
What you’ll be doing
- Being the first point of contact for clients via phone, email, and web enquiries, responding with warmth, clarity, and professionalism
- Managing appointment bookings, changes, and cancellations using PracSuite
- Providing clear and thoughtful information about clinic services, processes, and next steps
- Maintaining accurate and confidential client records and documentation
- Processing payments, invoices, and routine administrative tasks
- Supporting clinicians with day-to-day administrative coordination and diary management
As the clinic transitions to an in-person setting, the role will also involve:
- Welcoming clients and visitors at reception and helping create a calm, respectful front-of-house experience
- Supporting the flow of clients through the clinic, including check-ins, directions, and session transitions
- Maintaining the reception, waiting areas, and shared spaces so they remain tidy, professional, and welcoming
- Monitoring stock levels of clinic supplies and ordering consumables as required
- Assisting with room setup and basic logistical needs
- Representing the clinic’s values through consistent, thoughtful, and professional presence
What they are looking for
- Demonstrated experience working with PracSuite in a healthcare or allied health setting
- Experience in a reception, customer service, or administrative role
- Experience working in a psychology clinic or mental health setting is desirable
- Clear, respectful communication and a steady, professional manner
- Strong organisation skills and attention to detail
- Confidence using digital systems and learning new tools as needed
- A calm, people-centred approach when supporting clients, including those who may be feeling anxious or overwhelmed
- Availability to work part-time hours, preferably between 10.00am and 2.00pm, Monday to Friday
- Australian work rights are required for this position
Experience with systems such as Halaxy and Splose (our previous systems), Google Workspace (Gmail, Calendar, Sheets, Docs, etc), Stripe, TyroHealth Online/MediPass, Zoom, NovoPsych, or ClickUp is highly regarded.
